Process a Permit Application

Management Portal Users with the relevant permissions can process a permit application from the Task list or from the patient record.

Access a Permit from a Task

  1. From the top navigation menu, click Tasks. For details on filtering and sorting tasks, see Tasks.

  2. Locate the task that contains the permit you want to work on.

  3. Click the Patient Name (blue hyperlink) in the Patient column.

    The patient record opens, with the relevant permit selected.

  4. Scroll down to view the details.

Access a Permit from a Patient Record

  1. From the Search menu, select Patients to search for a patient.

    Refer to Search for and Select a Patient.

  2. In Patient Search Results, the Record Type column displays whether the record is:

  3. If the patient record is Regulatory or Linked, open the relevant record.

    The Permits and Notifications section will list any permits associated with this patient.

  4. Click on a permit in the list and then scroll down to view the details.

Process a Submitted Permit Application

  1. Click Edit Permit, then make the changes to the permit as required.

  2. Status - Select In Progress.

    Review the free text provided by the practitioner in the Application Info box as to inform your selections on the remaining fields of the permit.

  3. Interventions - select any that are applicable.

  4. Drugs - Click Add Drugs to add a row to the table, then add the drug information. Mandatory.

  5. Diagnosis Click Add Diagnosis, then select a diagnosis from the list. Mandatory.

  6. Correspondence - view existing correspondence. You can also create or upload correspondence. See Correspondence for details.

  7. Notes - view existing notes. You can also add a note:

    1. Click Add Note.

      The Create Note popup displays.

    2. Complete the note details.

      • Note type - (Mandatory)

      • Team - (Mandatory)

      • Note - Enter text for the note.

      • File attachment - Choose a file or use drag and drop. (8 MB maximum)

      When all the mandatory fields have been completed, Save is enabled.

    3. Save the note.

    To delete a note, click the trash icon .

    You can only delete a note if you created it. Super Regulators can delete any notes.

  8. Click Save Permit.

The task that was associated with processing this permit will be removed from the Task dashboard.

Request additional information from the Practitioner

  1. If you require further information from the practitioner, do the following:

  2. Access the permit, if not already open.

  3. Click Edit Permit.

  4. Change the Status to Waiting for information.

  5. For Response required by, you can select a date. Two weeks from today is the default.

  6. If no response has been received from the practitioner by the Response required by date, then a new task is created letting you know that the information has not been received by the due date.

  7. For Permit Conditions, Permit Advice - select any that are relevant. These will get added to the letter that gets generated. You can preview the text in the Permit Comments field.

  8. In the Correspondence section, create correspondence as shown below, selecting the 'Additional info requested' template. See Create Correspondence for more details.

  9. Make any additional changes to the permit, then click Save Permit.

Move a Permit to a Different Patient Record

If a permit has been created for the wrong patient, you can move it to a different patient.

  1. Access the permit.

  2. Click the Move Permit button.

    The Patient Search popup displays

  3. Search for and select the patient that you want to move the permit to.

  4. Click OK.

    The following Confirmation popup displays.

    Before proceeding, make sure you have verified the accuracy and updated the correspondence.

  5. If you need to make changes or are unsure, press Cancel to return to the form.

  6. If you are certain that you want to proceed, click Move.
